Quotations Specialist

The Quotations Specialist will ensure customer projects are correctly sourced and quoted per each customer’s Request for Quote (RFQ). The Quotations Specialist starts with an initial RFQ (whether directly obtained or provided by their Manager) and completes it per the deadline provided.

Education

High School Diploma (GED or High School Equivalence Certificate) or a college degree in a similar field is preferred.

Experience

  • Proven experience as a Quotations Specialist, preferably in the oil and gas industry or a related sector.
  • Industry experience is favored but not required. Applicants must be eager to learn and open to instruction.
  • Fluent in Microsoft Office (Word, Excel, PowerPoint, etc.) and CRM systems.

  • Strong knowledge of oilfield products, equipment, and services.
  • Excellent communication and interpersonal skills, with the ability to build rapport with customers and internal teams.
  • Detail-oriented with exceptional organizational skills to manage multiple quotes simultaneously.
  • Analytical mindset with the ability to interpret market trends and competitor data.
  • Strong problem-solving abilities and the capacity to handle pressure and tight deadlines.
  • Knowledge of industry regulations and compliance standards is a plus.

On-Site Job

Will report to 121 Kiwi Drive Waynesburg, PA 15370. This position does not support remote opportunities.

Essential Duties and Responsibilities

Quotation Preparation

  • Collaborate with the sales team to understand customer requirements and preferences.
  • Utilize the company’s pricing guidelines and databases to generate accurate and competitive quotations.
  • Ensure that all quotations align with the store’s pricing policies and strategies.
  • Enter and print awarded project bid tickets in a timely manner to aid in warehouse efficiency.

Product Knowledge

  • Develop a deep understanding of the oilfield supply store’s product catalog and stay up to date with new offerings.
  • Advise the sales team on product availability, features, and benefits to help them tailor quotes to customer needs.

Customer Engagement

  • Respond to quotation requests promptly and professionally via email, phone, or in person.
  • Address customer inquiries, clarifications, and negotiations regarding the quotes.
  • Build strong relationships with clients, understanding their preferences and maintaining their confidence in the store’s offerings.

Accuracy and Compliance

  • Review and validate all quotations for accuracy, ensuring they adhere to the store's guidelines and policies.
  • Ensure compliance with industry standards, regulatory requirements, and company procedures.
  • Applies markup to the cost of material and prepares RFQ for submission.

Team Collaboration

  • Collaborate closely with the sales, procurement, and inventory teams to streamline quotation processes and enhance customer service.
  • Assist in resolving customer issues related to quotes and pricing discrepancies. Performs additional duties relative to managing the company’s processes/goals.
  • Participate in monthly Sales Team Meetings; Assist in other sales and operations functions as required.
